Emailing Invoices

This article will show you how to email invoices/statements in batches or individually. These steps are identical for both the invoices and statements page.

*Note: You must enter a "reply-to" email address in Settings to use this feature. Click here for instructions.

**Note: Clients will receive invoices from lms@3shape.com and should add this to their contacts

Go to Billing > Invoices

To send invoices in a batch: 

  1. Use the checkboxes to select the invoices (Clicking on the checkbox in the header row will select all invoices on the page). Under the Email drown-down menu, click Send Email.

To email an individual invoice:

  1. Click the gear to the right of the invoice. From the dropdown list, click Send.

 

2. If the “Missing Email” box appears, there is no email in the Client Profile billing tab. Enter it in the box and click Save. The email will be saved to the Client Profile in the billing tab 

 

3. A notification appears to confirms the “Send Email or Send” action was taken

4. To see the status, click “Email” and select “View Email Queue” in the drop down menu

5. The Email Type column shows what was emailed (invoice, statement, payment reminder), while the Job Status show the status of the email. There are 4 status options:

  • Pending - Email is being processed & hasn't been sent yet
  • Sent - Email is sent
  • Error - The email was processed, but not sent
  • Cancel - Prior to the email being sent, it was canceled
