How long TRIOS cases are stored in the system (system cleanup)

General overview 

Each TRIOS case consists of 2 parts:

  • Scan streams - 3D raw scan data output that is converted into DCM file format after post processing.
  • Case itself with order form and patient information. If a case was sent or post-processed, it would also contain DCM files.

Cases themselves as well as patients are never being deleted from the system. If a user would post-process or send a case, it would contain scans in DCM which cannot be edited, but the case can be re-sent again if needed.

Streams allow an order to be edited, but they are not considered a patient data, therefore software can automatically delete them due to their huge size.

Because TRIOS on Unite can be set up in a server/client installation, streams are only saved on the PC where the case was scanned.

Streams require post processing before being able to work on the case on another computer or being able to export it to .3oxz.

Streams cleanup

This feature is to help the customer not to run out of hard drive space. There are two procedures of streams cleanup:

  1. Automatic cleanup will be executed:
    • for all POSTPROCESSED cases older than 45 days;
    • for all NON-POSTPROCESSED older than 90 days;
    • for POSTPROCESSED cases created earlier than 45 days ago if there is less than 15 GB of free space on the system drive (starting from the oldest case and till the latest one until there is enough free space).
  2. Manual cleanup window activates on the Scanning page when disk goes below 15 GB of free space and automatic cleanup was unable to free up enough space:
    • It will delete STREAMS only.
    • This window will give the user the option to delete recovery data (streams), older than 1-3 weeks.
    • The oldest streams to preserve can be chosen up to 2 months back (if the free disc space allows it).

Protection from cleanup

Certain cases can be saved from the automatic cleanup using "Protect from cleanup" option. It can be done in Patient or Cases browser:

However, please remember that protection from cleanup will not protect the cases from manual cleanup.
